Monthly Membership Meeting Minutes

Date: 9/14/2009

Location: El Tarasco, 110 Fairfax Ave, Louisville, KY

Officers Present: Steve McCombs, President; Richard Darnell, Treasurer; Tony Proasi, Secretary

Board Members Present: Jim Deppen, Mark Lichtefeld, Edgar Smiley

Chairs Present: Mark Bos, Website Chair; Ken Daughtery, Membership Chair

Attendance:  20 members (approximate) and 1 guest from the Louisville Concourse event

The meeting kicked off around 7:15pm and was brought into order by the President.

Topics Discussed:

  • The 50th Anniversary Party will be held September 19th at the Palace.  There are over 50 members  signed up for over 100 guests.  Steve McCombs was hoping for 100-150 guests total and that due to the low turnout that the club is under budget by about 1/3 for the event.  More information at: http://kypca.org/anniversary-party

  • The 356 Registry Holiday event in West Baden the past Saturday was discussed.  Five members drove up together during for the club drive up to the event.  It was noted that many others came up separately for a good showing from the KYPCA.  Ken Daughtery mentioned that many people thought the event location was the best location for that annual event.  He mentioned that the event would be in a different location next year that was undecided at that time.

  • Also discussed was the website contact list and membership records accuracy.  Mark Bos has installed a CRM (customer relationship manager) to help manage membership records such as address, phone, and e-mail addresses.  Mark suggested sending out a postcard to each member and asking them to submit via e-mail their current information so we have up-to-date information.  Mark thought that physical address information was the most up-to-date information and that the postcard would be the best way to connect with all the members.

  • The club treasurer was asked about the financial position of the club and with the upcoming 50th anniversary party and the fall Driver Education (DE) event that the funds will fall sharply, but after the DE registrations are tallied that the funds should return to a normal level and depending on the DE turnout, may be higher.

  • A gentleman from the Louisville Concourse made a presentation about the car show.  He gave discounted tickets to Steve McCombs to sell for $15 per person for the event.  He said that there will be a Porsche corral in the infield, but people wanting to park there would need to show up before 9:45am and meet at the drug store (Wagners) near Churchill Downs.  For more information visit their website: http://www.concourslouisville.com/ or http://kypca.org/news/club-news/247-louisville-concours .  The show is on October 4, 2009

  • The drive to Huber’s Orchard and Winery on October 17 was also discussed.  Plan to meet at the park across the street from Bluegrass Porsche at 11:00am and will depart on-time at 11:15am.  The KYPCA will meet up with the Central Indiana and Southern Indiana Porsche clubs.  There will be special parking for the clubs.  In the past there have been over 75 Porsches attending.  After we arrive at Huber’s, you are on your own to enjoy the fun!

  • The fall Drivers Education (DE) event is coming up on October 23-25.  Registration is to open tonight and all car makes are welcome to register and enjoy the event.  This event is one of the large income generators for the club that helps fund the meetings, parties, and other events.  So please attend if you can or invite others that you know.  If you do not wish to drive in the event, you are encouraged to come up and watch others and participate in this important event for the club.  More information and to register at http://kypca.org/driver-education

  • Club office nominations are due by October 15.  If you are interested in participating as an officer, please let Mark Bos or Edgar Smiley know before that date.  More information at http://kypca.org/component/content/article/55-system/153-2010-officer-elections

  • For the most up-to-date information, please use the award winning KYPCA.org website.  It has ALL the latest information and a new forum to communicate with your fellow members.  The website is at http://www.kypca.org

  • The next meeting will be held at Bluegrass Porsche on October 12, 2009 at 7pm.  See you there!
